Corporate Gifting Program Checklist: Budget, Branding, Lead Time and Delivery

A corporate gifting program goes wrong in predictable places: a gift the recipient is not allowed to accept, a logo that will not fit, an order placed too late, or a parcel held at customs with a bill addressed to the person you meant to thank. This checklist walks through seven checks in the order they should happen, using GoldPrivé’s published terms and three primary sources on gift rules.

01Check the recipients and the gift rules first

Start with the list of names, not the catalogue. A gift that suits a founder you have known for ten years may be one a procurement manager or a public official cannot accept at all. Many companies cap the value of gifts their staff may receive, so ask the recipient’s office before you order. A personalised piece cannot be redirected to someone else.

Three official sources are worth reading before a budget is signed off. They do not set a single worldwide limit; they describe how regulators and tax authorities look at business gifts.

Source What it says Why it matters for a luxury gift
IRS Publication 463 (United States) A business can deduct no more than $25 for business gifts given directly or indirectly to each person during the tax year. Incidental costs such as engraving, packaging, insuring and mailing are generally not counted towards that limit. The limit is on the tax deduction, not on what you may give. A premium gift is still allowed; most of its cost is simply not deductible as a gift for a US taxpayer.
UK Ministry of Justice guidance on the Bribery Act 2010 The government does not intend the Act to prohibit reasonable and proportionate hospitality and promotional or similar business expenditure. Proportionality is judged in context. A gift timed around a tender or contract decision reads very differently from one marking a completed project.
US DOJ and SEC FCPA Resource Guide The hallmarks of appropriate gift-giving are a gift given openly and transparently, properly recorded in the giver’s books and records, provided only to reflect esteem or gratitude, and permitted under local law. Applies where foreign officials are among the recipients, which includes staff of state-owned companies in many markets.

This is a summary for planning, not tax or legal advice. Your finance and compliance teams should confirm how the rules apply to your company and to each recipient’s country.

02Budget: what the price covers and what it does not

The useful question is not only the price per piece but what sits outside it. For a GoldPrivé order, the published terms draw the line as follows.

Item Position
Choice of metal 24K gold, rose gold and platinum finishes are priced the same within a design, so the finish does not move the budget.
Engraving Agreed and quoted with your consultant before production begins.
Shipping and transit insurance Complimentary shipping on all orders; orders are insured during shipping.
Presentation Pieces travel in GoldPrivé presentation packaging. The executive pen listing also specifies a Certificate of Authenticity.
Import duties and local taxes Not included. They are charged by the destination country and fall to the customer as importer of record. GoldPrivé states it cannot estimate them.

The Gold Executive Accessories, the range most often used for programs with many recipients, currently run from $ 265 to $ 659 per piece. The Aurex pen listing states there is no minimum quantity and that an order can be placed with a 50% deposit or paid in full; confirm both for your own order. Our gold plating cost guide explains what drives the price of a fully bespoke project.

03Branding: logo, engraving and artwork approval

On a luxury gift, the recipient’s name usually belongs in the most visible place and the company mark in a discreet one. A piece engraved with the recipient’s initials gets used; a piece that looks like promotional stock tends to stay in the box.

  • Names, initials, dates, short messages or an approved company logo can be engraved, subject to design approval and the surface available on the piece. A slim pen barrel takes far less than a money clip.
  • Supply the logo as clean vector artwork and expect the consultant to confirm what will fit before anything is quoted.
  • Check every name against a source the recipient controls, such as an email signature. Spelling and titles are the most common error and the hardest to correct.
  • Agree one placement and one style across the program so fifty pieces read as a set.
  • Nominate a single person on your side to approve artwork. Approval is the step that starts the production clock.

Treat the order as final. GoldPrivé’s terms state that an order placed on the website cannot be cancelled, and that personalised pieces are final once production has begun, since an engraved item cannot return to stock.

04Lead time, counted backwards from the date

Nothing in these ranges is held in stock, so the schedule is production plus delivery plus anything customs adds. These are the figures GoldPrivé publishes.

Confirmed: published GoldPrivé figures

Stage Published figure
First contact after ordering A representative contacts you within 2 business days to discuss customization and give an estimated delivery date.
Production, Gold Executive Accessories Typically 7 to 14 working days once the engraving is approved. Very large quantities are scheduled with your consultant.
Processing and customization, general policy Allow 1 to 2 weeks.
Delivery within the UAE 3 to 5 business days after customization is complete.
International delivery 7 to 10 business days after customization is complete, varying by destination.
Customs clearance No figure given; it depends on the destination country.
Worked example: engraved accessories for an event

Adding the published figures for an international delivery gives 7 + 7 = 14 working days at the quick end and 2 + 14 + 10 = 26 working days at the slow end, which is a little over five working weeks. For a UAE delivery the same sum gives 7 + 3 = 10 working days at the quick end and 2 + 14 + 5 = 21 at the slow end.

That is our arithmetic from the published ranges, not a delivery promise. It leaves out your own artwork sign-off, customs clearance and public holidays, so add a margin of your own. If the gifts are tied to a fixed date, give the consultant that date before you commit to it.

05Delivery: customs, signatures and restricted items

Delivery is where a well-chosen gift can still disappoint. Four points from the shipping policy and terms deserve a decision in advance.

  • Who pays duty. If each gift ships directly to a recipient abroad, the import charges land on that recipient. Either raise this with your consultant before ordering, or ship the whole program to one of your own offices and hand the gifts over in person.
  • Who signs. A signature is required on delivery. A staffed office address is safer than a home address.
  • Address accuracy. GoldPrivé is not responsible for delays caused by incorrect address details, and changes cannot be guaranteed once an order has shipped.
  • Restricted items. Fuel and shipping restrictions may apply to the Ignis lighter depending on the destination. Some regions cannot be shipped to at all, and you will be told if an order is affected.

06What the recipient needs to know

A gift should not arrive with surprises. If the program includes customized phones, watches or laptops rather than accessories, pass on three facts with the piece.

  • A customized device is not water resistant, and liquid damage voids the warranty.
  • The device is covered by GoldPrivé’s own warranty, a 2-year customization warranty and a 1-year device warranty, and the manufacturer may treat it as modified. The warranty certificate or invoice must be kept, so decide whether the recipient or your office holds the paperwork.
  • Whether wireless charging and tap-to-pay still work depends on the design, because a plated back blocks them. Check the individual listing before choosing a model for someone who relies on either.

For every piece, a soft dry cloth is the right care. Our guide to how gold plating wears covers the detail, and each piece can be checked on the product verification page.

07Choosing the pieces

Match the tier to the relationship rather than buying one item for everyone. GoldPrivé finishes are 24K gold, rose gold or platinum at 5 to 7 microns.

Executive Accessories

Seven pieces: two pens, a lighter, a money clip, two pairs of cufflinks and a tie clip. From $ 265.

FAQQuestions buyers ask

Is there a minimum order quantity?

The Aurex executive pen listing states that no minimum is set and that quantities, consistent engraving and delivery dates can be arranged with a consultant. Larger corporate orders across the collection are subject to design and production approval.

Can we cancel if the event is postponed?

No. Orders cannot be cancelled once placed, and personalised pieces are final once production has begun. If a date is uncertain, settle it before ordering; finished gifts can be held by you until the event.

Who pays import duty on a gift sent abroad?

The customer receiving the goods is treated as importer of record and is responsible for duties, customs fees and local taxes. These are not part of the order total.

Can our logo go on every piece?

An approved company logo can be engraved where the surface allows. Small pieces such as a tie clip or a slim pen barrel limit what is legible, which the consultant confirms before quoting.
